Job Description
We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive support to senior leadership. In this role, you will serve as a trusted partner, managing complex schedules, coordinating travel, overseeing administrative priorities, and ensuring day-to-day operations run smoothly. In addition to traditional executive support responsibilities, this role will occasionally assist with personal tasks and errands as needed. The ideal candidate is professional, adaptable, detail-oriented, and thrives in a fast-paced environment where no two days are the same.
Key Responsibilities
- Manage and maintain complex executive calendars, including scheduling meetings, appointments, and events.
- Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries.
- Prepare and submit expense reports in a timely and accurate manner.
- Screen and prioritize communications, ensuring urgent matters are addressed promptly.
- Assist with meeting preparation, agendas, presentations, and follow-up action items.
- Coordinate internal and external meetings, including logistics, catering, and materials.
- Plan and coordinate company meetings, client events, and special projects.
- Manage event logistics, vendor relationships, and scheduling to ensure successful execution.
- Partner closely with Executive Assistants across two sister companies to ensure seamless communication and coordination.
- Assist with special projects and administrative initiatives as assigned.
- Maintain confidentiality when handling sensitive business and personal information.
- Anticipate executive needs and proactively resolve issues before they arise.
- Assist with occasional personal tasks and errands, and miscellaneous errands as needed.
Qualifications
- 5+ years of Executive Assistant experience supporting senior-level executives.
- Strong calendar management and travel coordination experience.
- Experience managing expense reports and executive-level administrative functions.
- Exceptional organizational and time management skills.
- Ability to prioritize multiple responsibilities and adapt to changing priorities.
- Professional communication skills, both written and verbal.
- High level of discretion and ability to maintain confidentiality.
- Proficiency with Microsoft Office Suite, Outlook, Teams, and Expensify.
- Positive, "can-do" attitude with a proactive mindset.
- Resourceful problem solver who takes initiative and ownership.
- Strong sense of urgency and follow-through.
- Team-oriented and collaborative, while also capable of working independently.
- Comfortable operating in a fast-paced, entrepreneurial environment.
